  • Holistic meeting site vetting for final site selection and negotiation, including site research visits and presentation of final proposals to the board

  • Prepare meetings specs and review catering/banquet event orders
  • Coordinate and oversee full exhibitor program from inquiries, solicitations, contracts processes, exhibit space assignment, and collection of booth rental fees

  • Meeting attendee and exhibitor registration services
  • Develop customized online registration micro websites to capture relevant data and fees
  • Prepare and distribute notices, invoices, and confirmation letters

  • Develop conference app
  • Produce and distribute final event registration roster and reports

Fundraising & Corporate Support Management
  • Manage corporate support programs
  • Support the development of multi-level fundraising programs with alignment to mission and values
  • Develop and distribute marketing packages for supporter solicitation
  • Develop and support corporate sponsorship and giving programs according to established policies and sensitivities to the field with board cooperation and approval
Financial Services
  • Annual budget development and adherence
  • Maintain financial controls
  • Monthly or quarterly financial statements and bank statement reconciliation

General Administration and Headquarters Office
  • Maintain the office, mailing address, telephone, voicemail, fax, and e-mail addresses
  • Operate office from 9:00 a.m. to 5:00 p.m. Central Standard Time/Chicago
  • Use of conference room for meetings at headquarters as needed
  • Maintain organizational office supplies, archive materials onsite or in storage and keep “Critical Documents File” of key legal and operating documents
  • Manage headquarters communications and respond or route inquiries as appropriate
  • Headquarters administrative lead will coordinate across organizational structure as needed
